Integration

    AI receptionist for Housecall Pro

Housecall Pro can be connected to an AI receptionist so that a call becomes a scheduled job rather than a note somebody types up later. The connection is built against your own account rather than installed from a marketplace, and what it can do depends on the API access your plan grants. This page covers what the integration would do, what to check before anyone quotes you, and what we will not promise.

    Context

What Housecall Pro is, in plain terms

Housecall Pro is field service software aimed at smaller home-service companies: scheduling, dispatch, estimates, invoicing and payments in one place, priced and designed for a business with a handful of trucks rather than a call centre.

The typical Housecall Pro customer is different from the typical ServiceTitan customer in a way that matters here. There is often no office. The owner answers the phone, and answers it from a roof, a crawlspace or a van, which means the share of calls that never reach a person is usually higher rather than lower than at a larger company.

That changes what the integration is for. At the larger end, connecting an agent to the dispatch board is mostly about keeping the board clean. Here it is more often about the calls being answered at all, with scheduling as the thing that makes the answer worth something.

    On a live call

What an integration would do while the caller is still talking

Written in the conditional on purpose. Each of these is a thing we build against your account, not a switch we flip, and what is achievable depends on the checks in the next section.

Answer while you are under a house
The first and largest benefit, and it needs no integration at all. Everything below is what the integration adds once the call is already being handled properly.
Match the caller to an existing customer
Look the number up against your customer list so a repeat caller is recognised, the service address is confirmed rather than re-collected, and the job attaches to the right record instead of creating a second one.
Offer times you can actually work
Read your real schedule so the slot offered is one that exists, accounting for the jobs already on it. Without this the agent can capture a preferred time but not commit to it, which is a materially weaker promise to the caller.
Create the job with the detail already in it
Customer, address, what is wrong, the equipment detail collected, and the urgency assessment, so the job on your schedule is one you could work from without ringing the customer back to ask what they meant.
    Send the confirmation
An SMS confirming the appointment, so the customer has it in writing and you have fewer no-access visits. This is a small feature that quietly pays for a noticeable amount of the monthly fee.

    The honest part

What has to be checked against your own Housecall Pro account

API access on these platforms is granted per account and often per plan, so what is possible for one Housecall Pro customer is not automatically possible for another. We check all of this before quoting rather than after, and you are welcome to check it yourself first.

Whether API access is included on your plan
Housecall Pro has historically made programmatic access available on its higher tiers rather than universally. Confirming what your specific plan allows is the first step, and it is a question for Housecall Pro rather than for us, because the answer changes what we are able to quote.
    Which operations your access permits
Reading customers, reading the schedule and creating jobs are separate capabilities. Read-only access still supports an agent that recognises callers and hands you a complete job to accept, which is a real product even though it is not booking.
    How your schedule reflects reality
Small companies frequently keep part of the real schedule in their head, or in a diary, or in a text message to a technician. If the software does not know about a job, the agent cannot avoid booking over it. Sometimes the honest first step is tidying that up rather than buying anything.
Whether you want it answering all calls or only some
Conditional forwarding lets the agent take only what you do not pick up, or only what arrives outside your hours, or everything. This is a setting rather than a build decision, and it is worth deciding deliberately because it drives your minute usage and therefore your monthly cost.
    Who holds the credentials
The connection runs against your account and the credentials stay yours, so you can revoke them, audit what was done, and keep the integration if you stop working with us.

    What we will not claim

Stated here rather than discovered at the demo

    • That a ready-made Housecall Pro app or connector exists for this. The integration is built against your account.
    • That every Housecall Pro plan supports it. Programmatic access has historically been tied to higher tiers, and yours needs checking before anyone quotes you.
    • That we are a Housecall Pro partner or are endorsed by them. We are not.
    • That booking is the part you most need. For a lot of companies at this size, simply having every call answered is the larger share of the benefit, and we would rather sell you that than an integration you do not need yet.

    Frequently asked questions

    Frequently asked questions

Can an AI receptionist schedule jobs in Housecall Pro?
Where your plan grants the API access to read the schedule and create jobs, yes, and that is established before we quote rather than assumed. Where it does not, the agent still answers every call, triages it, collects the equipment detail and sends you a complete job to accept with one tap. For a lot of smaller companies that version is enough, and it costs less.
Is this worth it for a two-truck company on Housecall Pro?
It depends entirely on how many calls you currently miss, which you can measure rather than guess. A two-truck company where the owner answers from a ladder often misses a larger share of calls than a fifteen-truck company with an office, so the case is frequently stronger at this size rather than weaker. What is usually wrong at this size is buying the integration first; answering first and integrating later is the cheaper order.
Will it book over a job I have not entered into Housecall Pro?
Yes, if you have not entered it. The agent can only see what the software knows about, which is why the honest advice for companies that keep part of the schedule informally is to fix that before connecting anything. An agent that books over your afternoon because the afternoon lived in a text message is worse than no agent, and it is a failure nobody can engineer around.
Can I have the agent answer only the calls I miss?
Yes, and it is the most common arrangement. Conditional forwarding from your existing line sends calls to the agent only when nobody picks up, or only outside your hours, or all the time if you prefer. You keep your number, you keep the ability to turn the forwarding off, and because the agent only handles what you did not, your conversation minutes and therefore your monthly cost stay lower.
What if we outgrow Housecall Pro and move to another platform?
The triage rules, the company knowledge and the call flows are the durable part of the build and they move with you. The connector is the part that would be rebuilt against the new platform, and it should be scoped as a piece of work rather than assumed to be free. Worth raising at the start if you already suspect a move is coming, because it changes what is worth building now.
