Online scheduling systems
RL Enterprise builds custom online scheduling and booking systems for small and mid-sized businesses: appointment booking on your own website, synced to your real calendars, with automated confirmations, reminders and optional payment collection. Unlike generic booking tools, our systems are built around your actual availability rules, services and workflow, and they integrate with your CRM and other systems so a booking triggers everything that should follow it.
Why not just use a generic booking tool?
Sometimes you should, and we will say so when it is true. Generic tools are cheap and quick, and for a simple single-calendar business they can be enough.
They break down when your business does not fit their template: multiple staff with different services and hours, resources that must not double-book, buffer times, deposits for some services but not others, rules like “no first appointments after 4 p.m.”. Generic tools also sit on someone else’s domain or in an iframe, carry someone else’s branding, and hold your customer data in their system, with subscription pricing that scales against you as you grow.
A custom system encodes your real rules, lives on your site, matches your brand, and puts every booking and customer record in a database you own.
What does a custom scheduling system include?
- Booking flow on your own websiteStyled as part of your site rather than a bolted-on iframe, and built to our usual performance and SEO standards.
- Your availability rules, exactlyStaff, services, locations, durations, buffers, lead times, blackout dates. If you can state the rule, the system can enforce it.
- Two-way calendar syncBookings land in the calendars your team already uses, and external events block availability automatically.
- Automated confirmations and remindersBy email (and SMS where scoped), which is the single most effective lever against no-shows.
- Payments and depositsWhere you want them, integrated at booking time.
- Connections onwardA booking can create the CRM record, send the intake form, notify the right staff member and update your reporting. See API & systems integration.
How does scheduling fit with everything else we build?
A scheduling system is the conversion point of the whole pipeline. Visibility work brings the visitor. The website earns their trust. The chatbot answers the late-evening question. The booking system is where all of it becomes a customer on your calendar. Because one team builds all four, the handoffs between them are engineered, not improvised.
What is the build process?
- 01Map the real rulesWe document how bookings actually work in your business, including the exceptions your current tool cannot handle.
- 02Fixed scopeWritten deliverables, timeline and price.
- 03Build and integrateThe booking flow, the rules engine, calendar sync, notifications, payments, and connections to your other systems.
- 04Test with real scenariosIncluding the awkward ones: cancellations, reschedules, double-book attempts, timezone edge cases.

Questions
The things people ask before they call.
›We already use a booking tool. Why change?
If it fits, keep it, and we will tell you so. The reasons clients change: rules the tool cannot express, double-bookings, subscription costs rising with staff count, customer data locked in someone else’s platform, or a booking experience that looks nothing like their brand.
›Can it sync with Google Calendar or Outlook?
Yes, two-way. Bookings appear in your team’s existing calendars, and events created there block availability on the site automatically.
›Can it take payments or deposits?
Yes, where you want it to. Full payment, deposits, or deposits only for specific services: the rules are yours.
›Does it reduce no-shows?
Automated confirmations and reminders are the standard lever, and they are included. The evidence for them is genuinely strong: a systematic review and meta-analysis of appointment reminder studies found reminders improved attendance in the large majority of trials, with reported reductions in missed appointments averaging around 40%. That research is from healthcare rather than the trades, so treat it as evidence that the mechanism works rather than as a number you should expect. We will not promise you a specific figure, because no honest builder can predict yours; your reporting will show the real effect against the baseline we record before launch.
›Who owns the booking data?
You do, entirely. Bookings and customer records live in a database you own, unlike SaaS booking tools where your customer history sits in the vendor’s platform.
›How much does a scheduling system cost?
Fixed written quote after we map your workflow, before any build. Projects typically start at US$6,000.
Every booking that needs a phone call is one you can still lose
Bookings decay. A customer who has to ring during office hours, wait on hold, then wait again for a callback gets three separate chances to change their mind or try the next company on the list, and you never see the ones who took them. Email contact@rlenterprise.net and describe how appointments happen in your business today, including the rules your current tool cannot handle. We will reply within 24 hours, and every build starts with a fixed written quote after we map your workflow.
